MEMOIR WRITING IN MARRAKECH RETREAT
Terms, Conditions, Cancellation and Refund Policy
By registering for and making payment toward the Memoir Writing in Marrakech Retreat ("the Retreat"), participants acknowledge and
agree to the following Terms and Conditions.
1. BOOKINGS AND PAYMENT
Your place on the Retreat is confirmed only upon receipt of the required deposit or full payment. Places are limited and are allocated on a first-come, first-served basis. The Retreat fee covers only those inclusions specifically outlined in the Retreat itinerary and promotional materials. Unless otherwise stated, participants are responsible for their own international airfares, travel insurance, passport and visa requirements, personal expenses, meals not included in the itinerary, and any additional travel arrangements.
2. PARTICIPANT CANCELLATIONS AND REFUNDS
All cancellation requests must be submitted in writing by email. Because accommodation, venue hire, transportation, staffing, and other services are reserved and paid for well in advance, the following cancellation policy applies:
• The booking deposit is non-refundable under all circumstances.
• Cancellation more than sixty-one (61) days prior to the Retreat commencement date: Refund of all monies paid, less the non-refundable deposit.
• Cancellation between thirty-one (31) and sixty (60) days prior to the Retreat commencement date: Refund of fifty per cent (50%) of monies paid, excluding the non-refundable deposit.
• Cancellation thirty (30) days or less prior to the Retreat commencement date: No refund.
No refunds will be provided for:
• Failure to attend the Retreat.
• Late arrival or early departure.
• Missed flights or transportation delays.
• Visa or passport issues.
• Illness, injury, family emergencies, or changes in personal circumstances.
• Any unused portion of the Retreat.
As places are strictly limited and reserved specifically for each participant, no exceptions can be made to this policy.
Participants are strongly encouraged to purchase comprehensive travel insurance, including cancellation, medical, evacuation, and travel disruption coverage, at the time of booking.
3. TRANSFER OF REGISTRATION
At the sole discretion of Julie Stafford Retreats, participants may request to transfer their booking to another advertised retreat within twenty-four (24) months of the original Retreat commencement date. Requests must be submitted in writing and approved by Julie Stafford Retreats. Any increase in retreat fees, accommodation costs, supplier charges, or other associated costs for the new retreat will be payable by the participant. Transfers are subject to availability.
4. FORCE MAJEURE
Julie Stafford Retreats shall not be liable for any delay, alteration, interruption, postponement, or cancellation of the Retreat arising from circumstances beyond its reasonable control, including but not limited to:
• Natural disasters
• Extreme weather events
• Fire, flood, or earthquake
• Pandemic or epidemic
• Government restrictions or travel advisories
• Political unrest or civil disturbance
• Terrorism or acts of war
• Transportation disruptions
• Border closures
• Supplier insolvency or failure
• Any other unforeseen circumstance beyond reasonable control
Should a Force Majeure event prevent the Retreat from proceeding as scheduled, participants may choose one of the following options:
(a) Transfer their booking to another Julie Stafford Retreat within twenty-four (24) months of the original Retreat date; or
(b) Apply the value of their retreat fee toward online mentoring, manuscript assessment, coaching, or private writing sessions with Julie Stafford.
No cash refunds shall be payable where cancellation results from a Force Majeure event.
5. RETREAT ORGANISER CANCELLATION
In the unlikely event that Julie Stafford Retreats cancels the Retreat for reasons other than Force Majeure, participants may choose either:
(a) A transfer to a future retreat; or
(b) A full refund of all monies paid directly to Julie Stafford Retreats.
Refunds are strictly limited to amounts paid to Julie Stafford Retreats and do not extend to:
• Airfares
• Accommodation booked independently
• Travel insurance
• Visa fees
• Transportation costs
• Meals
• Personal expenses
• Any other third-party costs incurred by participants
6. CHANGES TO ITINERARY
Julie Stafford Retreats reserves the right to make reasonable changes to the itinerary, accommodation, venues, activities, guest speakers, transportation arrangements, schedules, or retreat inclusions where necessary. Such changes may occur due to operational requirements, weather conditions, supplier availability, safety considerations, or other circumstances beyond reasonable control. Reasonable itinerary changes shall not constitute grounds for cancellation or refund.
7. HEALTH, SAFETY AND RESPONSIBILITY
Participants acknowledge that travel to Morocco involves inherent risks associated with international travel.
Participants are responsible for ensuring they:
• Hold a valid passport and any required visas.
• Meet all entry requirements.
• Maintain adequate travel and medical insurance.
• Are physically and mentally capable of participating in retreat activities.
Participants attend the Retreat voluntarily and assume full responsibility for their own health, safety, conduct, and personal belongings throughout the Retreat.
8. LIMITATION OF LIABILITY
To the fullest extent permitted by law, Julie Stafford Retreats, its representatives, contractors, suppliers, and affiliates shall not be liable for any injury, illness, loss, damage, delay, accident, theft, expense, disappointment, inconvenience, or consequential loss arising from participation in the Retreat. Participants acknowledge that they participate entirely at their own risk. Nothing in these Terms and Conditions excludes any rights that cannot lawfully be excluded under applicable consumer protection legislation.
9. PHOTOGRAPHY AND MEDIA
From time to time, photographs, video recordings, testimonials, and written feedback may be taken during the Retreat for promotional and marketing purposes.
By attending the Retreat, participants grant permission for such material to be used by Julie Stafford Retreats unless written notice requesting exclusion is provided prior to the commencement of the Retreat.
10. GOVERNING LAW
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Victoria, Australia. Any dispute arising from participation in the Retreat shall be subject to the exclusive jurisdiction of the courts of Victoria, Australia.
We strongly recommend that all participants purchase comprehensive travel insurance at the time of booking, including cancellation, medical, evacuation and travel disruption cover.
